Many of the answers to these questions are available in your
Marketing or Technical manuals, please read them carefully.

Q. How do I reserve my stand at Ingredients Russia 2007?
A: To reserve one of the stands at Ingredients Russia 2007,
email event manager Julia Wocka-Gowda (CLICK
HERE TO SEND EMAIL) or call +44 (0) 207 596 5188. Please
note that it is essential to book early to avoid disappointment.
Q. How do I get into the exhibition centre when I arrive on
the first day?
A: Access to Crocus Expo Exhibition Center on your arrival
Please make sure that one representative from your company
collects all the exhibitor badges and work passes for contractors
in advance.
Exhibitors
Please present the below documents to the security at the
main entrance on your arrival
Ø passport
Ø business card
Ø fourfold filled pass-in & pass-out letter addressed
to the director of Crocus Expo (a sample
can be found at the last page of your technical manual).
Once you are inside of the Crocus Expo please come and see
us at ITE Management stand to collect your exhibitor
badges that you need to carry all the time during the exhibition.

Contractors
Work Passes: to be collected from ITE Management stand
Ø for set-up personnel and stand builders

Ø a power of attorney from the exhibitor for the construction
of their stand
Ø a letter stating which stands are to be built, the

Q. When and how can I get my exhibitor badges and why do I
need them?
A: Exhibitor badges ensure that other exhibitors, security
staff and visitors know who you are and what company you are
representing. These should be carried at all times during
the exhibition. They are collected from the management stand
on your arrival (see above).
Q. How do I get work passes and why do I need them?
A: Work passes are for your stand builders and constructors
during the days of set-up and dismantling.
Work Passes: to be collected from ITE Management stand

Ø to have access to the exhibition center & halls
Ø during the set-up & dismantling only (not valid
during the exhibition)

Q. What does ‘In and Out Letter’ mean?
A: This letter is included in your technical manual and allows
you to take in and take out any products/goods before and
after the exhibition. This is essential for security reasons
and is designed to prevent illegal trading at the exhibition.
You must have 3 copies of the In and Out letter. Further details
can be found in your technical manual.
Q. How can I get my goods into the exhibition centre?
Do I need a permit for my personal belongings e.g. Laptop
computer?
A: Any large boxes or trade goods that you wish to carry into
the exhibition centre with you and that you want to take away
with you after the exhibition must be declared on the In and
Out letter as explained above. Again, this is a security measure
which protects you as exhibitors.
Q. What are the opening hours of the exhibition and
the timetable for ‘set-up’ and dismantling?
A: Set-Up days & Opening Hours:
30th November 2007: 12.00 – 20.00 (access for space
only stands)
14.00 - the latest time to start set-up
1st December 2007: 08.00 – 20.00 (access for space only
stands)
2nd December 2007: 08.00 – 20.00 (access for space only
stands)
3rd December 2007:
08.00 - 20.00 (set up, including equipped stands)
12.00 - latest time exhibitors arrive at a stand
16.00 - all goods must be unpacked
17.00 - all stands must be ready & cleaned
4 th December 2007:
Official Opening Ceremony: 11.00 (TBC)
5 th December 2007: 10.00 – 18.00
6 th December 2007: 10.00 – 18.00
7 th December 2007: 10.00 – 16.00
B: Dismantling:
7th December 2007:
16.00-20.00 - packing & removing of exhibits
20.00 - equipped stands must be vacated
8th December 2007:
08.00 - 20.00 - dismantling
9th December 2007:
08.00 - 20.00 - dismantling
20:00 - pavilions must be vacated

Q. Where is the Danzas office located on site?
A: Danzas will have an office within the exhibition centre
and this is located close to the ITE management stand. Contact
information for Danzas and their local representatives in
your country is given in your technical manual. Please read
carefully.
Q. Can you organise my visa/invitation letter and travel arrangements?
A: ITE Group Plc take no responsibility for exhibitor or visitor
travel or visa arrangements. Please see your Travel pack or
the travel section of this website for further information.
ITE does not have the authority to write visa invitation letters.
These must come from a registered travel agent. The details
of our recommended travel agent, IMS Travel are available
in your travel pack or click on the moving link at the bottom
of this page.
Q. Do I have to send my goods through Danzas?
A: No. You may use alternative freight delivers to transport
the goods from your country to Russia, but Danzas are the
sole agent who can handle goods on site. Even if you use another
freight company to transport your goods into Russia, you must
contact Danzas for advice on sending goods to the exhibition
centre.
Q. When will I receive tickets for my visitors?
A: Visitor tickets will be sent to you by post approximately
four months before the exhibition. You are entitled to 50
visitor tickets, additional tickets can be arranged on request
subject to availability.
Q. What is my stand number?
A: All stand numbers remain provisional until the last 2 months
before the exhibition. Please see the ‘Exhibitors’
section of this website for final stand numbers 1 month prior
to the Show.
Q. Can you send me an Invitation letter for my visa?
A: ITE Group PLC do not have the authority to write visa invitation
letters. These will not be accepted unless they come from
a registered travel agent. To get an invitation letter please
contact our recommended travel agent Overseas Business Travel
OBT Ltd who may be able to help you.
Q. I have ordered some advertising in the show catalogue,
how do I send my advertising films and when are the deadlines?
A: The advertising material must be produced only on film
as advised by the event co-ordinator and this must be sent
to London ITE Head Office by courier no later than 4 months
before the Show. If you booked your advertising page(s) after
this date please contact Aynur Meric for advice.
Q. Can I extend my payment deadline?
A: All deadlines are clearly indicated in your invoices. It
is important for the smooth running of the show that you pay
on time and you will not be provided with marketing or technical
services until full payment is received. Please note that
failure to complete technical forms by the deadline will result
in a 100% surcharge to technical costs. All balances must
be paid before the show or you will not be admitted to the
exhibition.
Q. When do I receive my Gala Dinner tickets and can I order
more?
A: All Gala dinner tickets can be collected from the ITE Management
stand on site. Additional tickets can be reserved in advance
but are subject to availability and will be confirmed on site.

Q. Where is the closest hotel to the exhibition centre?
A: A number of hotels are listed in your travel pack and these
are all with reasonable distance of the exhibition centre.
